HR / Finance Administrative Assistant

32 hours per week Mon – Fri


To support the Human Resources Manager and Finance Manager with key administrative support functions to enable timely, accurate information to be recorded, updated and coordinated.  To run reports as required to facilitate analysis, measurement and decision making.  To ensure a proactive approach is taken to gathering and collating key information and working in line with the priorities of business with Managers, SMT and the wider team across the group.

Main Duties:


  • Ensure EPICARE is up to date with all staff information – coordinating timely input and deletion of information, integrity and quality of information, producing reports as required, liaise with Home/Service Managers/Administrative teams on a regular basis
  • Maintain and collate accurate and timely information regarding staff maternity leave, sickness absence, occupational health appointments and information, training records, NISCC information
  • Support the HR team with note taking in meetings as applicable, compiling agendas, letter writing, filing, general administration
  • Liaise with Westfield Health and UNUM on behalf of the HR/Finance Team quality assuring membership information and coordinating information regarding claims


  • Antrim care home Sales Ledger (generation of invoices\ posting of payments received).
  • Credit control for Antrim Care home sales ledger
  • Sage payroll to cover absence
  • Sage accounts to cover absence
  • Full training will be given for both Sage payroll and Sage Accounts

Head Office

  • Approximately 1 hour per week administrative support for Directors

General & Personal Development

  • Maintain a professional knowledge by training as required
  • Keep up to date with new developments as required
  • Demonstrate flexibility to take on other priorities as required


Person Specification

Essential criteria:

  • Extremely organised with the ability to work to agreed deadlines
  • Can demonstrate flexibility as required and be able to work proactively to achieve completion of work
  • Can demonstrate excellent attention to detail and precision when collating, inputting and coordinating information
  • Excellent IT skills – with experience in MS word, excel, email etc
  • Must be interested in engaging in continuous personal development
  • Must maintain confidentiality at all times
  • A full clean driving licence and access to a car

Desirable criteria:

  • Experience of SAGE
